SHRM SDSU Positions: Duties and Responsibilties


Executive Level

PRESIDENT: The President’s main role is to oversee, support, and encourage all SHRM SDSU related activities. He/she must be organized, outgoing, able to delegate, and comfortable with public speaking. Previous experience as an organization president or officer is a plus.
 
Essential Functions:
  • Preside and conduct all meetings of the organization
  • Lead strategic planning initiatives for the chapter and set annual goals and objectives to achieve
  • Provide encouragement and motivation to fellow officers and organization members
  • Plan and coordinate logistics of professional events and introduce speakers
  • Maintain organization of the Google drive
  • Delegate and appoint tasks to officers
  • Meet with Chapter Advisor outside of regular meetings
  • Attend all member planning meetings and help at chapter events
Other Functions:
  • Attend SD SHRM board meetings and events
  • Write and submit SD SHRM article for “The Resource” every other month
  • Maintain contact with organization advisers and sponsors, affiliated departments and National SHRM
  • Prepare and submit Recognized Student Organization (RSO) paperwork (August)
  • Attend mandatory SOCIA (Part A & B) training and In-Person Officer Orientation with Student Life and Leadership (SLL) and Banking Training Session with Associated Students (AS) to be a Recognized Student Organization (RSO)
  • Apply for office space for the chapter each semester with Student Life and Leadership (August & December)
  • Submit Student Success Fee (SSF) grants on behalf of the chapter (October)
  • Prepare Student Chapter Information Form (SCIF; June and as leadership changes) and Chapter Roster Update (October 15) for National SHRM
  • Apply for annual weekly meeting space for the chapter with Associated Students (April)
  • Maintain membership in National SHRM and SD SHRM
  • Make at least two classroom visits at the beginning of semester to pitch SHRM and build the interest list

VICE-PRESIDENT: The Vice-President’s main role is to support the President. He/she must have excellent leadership, communication, and time management skills. In the event the President becomes vacant, the Vice President will temporarily act as President until a permanent replacement is elected. The Vice President also advises, tracks, and records how chapter activities fit National SHRM Merit Award guidelines in order to make SHRM SDSU an award-winning organization.

Essential Functions:
  • Assume the President’s duties in his/her absence
  • Coordinate and run organization elections
  • Reach out to other student organization to collaborate and let them know SHRM’s plans for the semester
  • Prepare, organize, and submit Student Chapter Merit Award application to National SHRM
  • Oversee the SHRM Mentoring Program: form initial pairings and serve as the point of contact
  • Reach out and collect information from SHRM members and alumni to be spotlighted on social media
  • Apply for awards through SDSU Associated Students, Aztec Achievement Awards, Business Achievement Awards, Student Life and Leadership Dean of Students Awards, and others as applicable
  • Attend all member planning meetings and help at chapter events
Other Functions:
  • Recognize a “Member of the Month” every month
  • Perform other duties as directed by the President
  • Maintain membership in National SHRM and SD SHRM
  • Make at least two classroom visits at the beginning of semester to pitch SHRM and build the interest list

SECRETARY: The Secretary provides clerical and administrative support to the organization. He/she must be extremely organized, detail-oriented, and have strong communications skills.
 
Essential Functions:
  • Create and distribute minutes and announcements for each meeting to members and officers
  • Keep a record of all members and activities of the organization
  • Maintain and add interest list information (name, email, date of graduation) to the Google drive
  • Secure event space with Associated Students (AS) and file all necessary documents
  • Complete and submit food forms to Aztec Catering and Environmental Health & Safety (EHS)
  • Aid President in preparing and filing any report required
  • Attend all member planning meetings and help at chapter events
Other Functions:
  • Track attendance at meetings
  • Perform other duties as directed by the President
  • Maintain membership in National SHRM and SD SHRM
  • Make at least two classroom visits at the beginning of semester to pitch SHRM and build the interest list

TREASURER: The Treasurer oversees all aspects of financial management to safeguard the organization’s finances. He/she must be trustworthy and comfortable working with numbers and familiar with accounting procedures and policies. Financial qualifications or relevant experience is a plus.

Essential Functions:
  • Gather, distribute, and manage the chapter’s funds: collecting membership dues and pay organization bills
  • Oversee the SHRM Point System: maintain records and email members of their point status
  • Hold petty cash for the organization and keep all financial records of all income and disbursements
  • Prepare and submit financial reports to President and Chapter Advisor on a weekly basis
  • Work with Chapter Advisor to deposit excess petty cash into checking account
  • Gather price quotes for large scale purchases (e.g., t-shirts, polos, banners)
  • Attend all meetings and events and collect membership dues 
Other Functions:

Director Level

MARKETING & MEDIA DIRECTOR: The Marketing & Media Director is responsible for creating flyers and being active on all social media platforms. He/she must be creative, know marketing/advertising techniques, and be familiar with social media platforms (Facebook, Twitter, Instagram, LinkedIn, etc.)
 
Essential Functions:
  • Create fliers to display on social media, Blackboard, and the Aztec Student Union TV posters for each professional event
  • Maintain and update all social media platforms including Facebook, Twitter, Instagram, and LinkedIn
  • Recognize and post a “Officer Spotlight,” “Alumni Spotlight,” and member for “Member Mondays” on all social media platforms each week
  • Work with President and Chapter Advisor as needed to get information needed for marketing materials
  • Attend all member planning meetings and help at chapter events
Other Functions:
  • Print out flyers or other marketing materials
  • Create and implement innovative ideas to promote the organization (videos, slide shows, etc.)
  • Maintain membership in National SHRM and SD SHRM
  • Make at least two classroom visits at the beginning of semester to pitch SHRM and build the interest list

CBC REPRESENTATIVE: The College of Business Council (CBC) Representative is the liaison between CBC and SHRM SDSU. He/she must have strong communication skills and be able to attend all CBC meetings.

Essential Functions:
  • Attend the weekly College of Business Council meetings
  • Inform President and Chapter Advisor of discussion items at CBC meetings within two days of the meeting
  • Provide updates to members and officers about important information covered
  • Inform chapter of Fowler College of Business events student organizations are invited to participate in
  • Attend all member planning meetings and help at chapter events
Other Functions:
  • Maintain membership in National SHRM and SD SHRM
  • Make at least two classroom visits at the beginning of semester to pitch SHRM and build the interest list

EVENTS COORDINATOR: The Event Coordinator coordinates organization socials and activities organized by SHRM SDSU. He/she must be extremely organized and have strong time management and communication skills. Previous experience in event planning is a plus.

Essential Functions:
  • Organize 3 to 4 social events per semester
  • Lead coordination of event logistics and supplies (food, location, etc.)
  • Conduct research and determine proper expenditure of budgeted costs for activities and events
  • Pursue and organize community service projects and academic events
  • Attend all member planning meetings and help at chapter events
Other Functions:
  • Maintain membership in National SHRM and SD SHRM
  • Make at least two classroom visits at the beginning of semester to pitch SHRM and build the interest list

SAN DIEGO SHRM LIAISON: The SD SHRM Liaison is the liaison between SHRM SDSU and San Diego SHRM. He/she must have excellent communication skills and a professional attitude to represent our chapter with the SD SHRM professional chapter. This student must be available to attend and sit on committee(s) to serve as our voice at SD SHRM committee meetings. *We will elect additional SD SHRM Liaisons as needed to sit on different committees.
 
Essential Functions:
  • Attend and participate in the San Diego SHRM committee meetings (monthly)
  • Attend SD SHRM conferences, breakfasts, and networking events
  • Provide updates to President and Chapter Advisor about information covered within two days of the meeting
  • Attend all member planning meetings and help at chapter events
Other Functions:
  • Maintain membership in National SHRM and SD SHRM
  • Make at least two classroom visits at the beginning of semester to pitch SHRM and build the interest list

SAN DIEGO HR FORUM: The SDHR Forum Liaison is the liaison between SHRM SDSU and San Diego HR Forum.  He/she must have excellent communication skills and a professional attitude to represent our chapter with the SDHR Forum professional chapter. This student must be available to attend and sit on committees to serve as our voice at SDHR Forum committee meetings.
 
Essential Functions:
  • Attend and participate in the SDHR Forum committee meetings
  • Attend SDHR Forum breakfasts and networking events
  • Provide updates to President and Chapter Advisor about information covered within two days of the meeting
  • Attend all member planning meetings and help at chapter events
Other Functions:
  • Maintain membership in National SHRM and SD SHRM
  • Make at least two classroom visits at the beginning of semester to pitch SHRM and build the interest list
 
INFORMATION SYSTEMS: The Information System Director manages and maintains the organization website. He/she must be familiar with website creation and management software. Experience in this area is a plus.

Essential Functions:
  • Manage the organization’s website at www.shrmsdsu.com
  • Update the website calendar after each meeting and as needed
  • Update the organization website with flyers of events provided by the Marketing & Media Director
  • Post pictures on the website gallery after each event or as needed
  • Attend all member planning meetings and help at chapter events
Other Functions:
  • Maintain membership in National SHRM and SD SHRM
  • Make at least two classroom visits at the beginning of semester to pitch SHRM and build the interest list

DEVELOPMENT DIRECTOR: The Development Director’s main role is to research HR internships for SHRM SDSU members and officers. He/she must be familiar with job posting websites, LinkedIn, Indeed, and other job/internship research tools.

Essential Functions:
  • Research and announce HR jobs and internship opportunities to members via email on a weekly basis
  • Attend all member planning meetings and help at chapter events
Other Functions:
  • Maintain membership in National SHRM and SD SHRM
  • Make at least two classroom visits at the beginning of semester to pitch SHRM and build the interest list

CORPORATE RELATIONS: The Corporate Relations Director’s main role is to recruit mentors for the annual SHRM Mentoring Event. He/she must have excellent communication skills, a professional attitude, and be able to successfully network, follow up, and build relationships with business professionals in the HR profession. *This position is only available Spring Semester.
 
Essential Functions:
  • Recruit and secure mentors for annual Mentoring Event
  • Serve as liaison between SHRM SDSU and mentors
  • Keep and organize the list of RSVPed mentors
  • Work with President and Chapter Advisor to coordinate logistics of the Mentoring Event
  • Attend all member planning meetings and help at chapter events
Other Functions:
  • Maintain membership in National SHRM and SD SHRM
  • Make at least two classroom visits at the beginning of semester to pitch SHRM and build the interest list

MEMBER RELATIONS: The Member Relations Director is responsible for keeping members informed on what is going on within the chapter and encouraging their participation in chapter business and events.

Essential Functions:
  • Create and send out monthly SHRM SDSU newsletter to keep members and interest listers up-to-date with the chapter
  • Notify members and interest listers of upcoming events via email
  • Email event attendees after each event to thank them for their participation, invite them to the next event, and for those who are not yet members, inform them of the benefits of joining the chapter
  • Attend all member planning meetings and help at chapter events
Other Functions:
  • Maintain membership in National SHRM and SD SHRM
  • Make at least two classroom visits at the beginning of semester to pitch SHRM and build the interest list

ALUMNI RELATIONS
: The Alumni Relations Director is responsible for helping the chapter stay more connected to its alums and foster a continued relationship with SHRM SDSU members after graduation.

Essential Functions:
  • Maintain and update SHRM alumni contact information
  • Send out the SHRM SDSU alumni newsletter to keep alumni up-to-date with our chapter
  • Attend all member planning meetings and help at chapter events
Other Functions:
  • Coordinate alum survey as needed
  • Maintain membership in National SHRM and SD SHRM
  • Make at least two classroom visits at the beginning of semester to pitch SHRM and build the interest list

HISTORIAN:
The Historian is responsible for keeping track of all events and socials SDSU SHRM organizes and participate in. These would include meetings, tabling, awards, etc. He/she must be extremely organized and creative.
 
Essential Functions:
  • Take pictures at all events (having a good camera is strongly recommended)
  • Post pictures to the Google drive within one day of the event
  • Create the annual scrapbook
  • Attend all member planning meetings and help at chapter events
Other Functions:
  • Maintain membership in National SHRM and SD SHRM
  • Make at least two classroom visits at the beginning of semester to pitch SHRM and build the interest list
