SHRM SDSU Positions: Duties and Responsibilities
Executive Level
PRESIDENT: The President’s main role is to oversee, support, and encourage all SHRM SDSU-related activities. They must be organized, outgoing, able to delegate, and comfortable with public speaking. Previous experience as an organization president or officer is a plus.

SECRETARY: The Secretary provides administrative support to the organization. They are responsible for creating, editing, and distributing meeting agendas to be sent out as minutes to all members. They must be extremely organized, detail-oriented, and have strong communication and managerial skills.

TREASURER: The Treasurer oversees all aspects of financial management to safeguard the organization’s finances. They must be trustworthy comfortable working with numbers and familiar with accounting procedures and policies. Financial qualifications or relevant experience is a plus.

- Preside and conduct all meetings of the organization
- Lead strategic planning initiatives for the chapter and set annual goals and objectives to achieve
- Provide encouragement and motivation to fellow officers and organization members
- Plan and coordinate logistics of professional events and introduce/source speakers
- Maintain organization of the Google Drive
- Delegate and appoint tasks to officers
- Attend all member planning meetings and help at chapter events
Other Functions:
- Attend SD SHRM board meetings and events
- Secure event space with Associated Students (AS) and file necessary documents
- Ensure food handler's permit training is completed with Environmental Health and Safety (EHS)
- Complete and submit food forms to Aztec Catering and Environmental Health & Safety (EHS)
- Maintain contact with organization advisor, sponsors, affiliated departments, and National SHRM
- Prepare and submit Recognized Student Organization (RSO & EAS) submissions (August/January and as needed)
- Attend mandatory Inclusive Leadership Awareness Training (ILAT) and in-person officer orientation with Student Life and Leadership (SLL) and Banking Training Session with Associated Students (AS) to be a Recognized Student Organization (RSO)
- Apply for office space for the chapter each year with Student Life and Leadership (April)
- Submit Student Success Fee (SSF) grants on behalf of the chapter - must be a student the following semester (March)
- Prepare Student Chapter Information Form (SCIF; June and as leadership changes) and Chapter Roster Update twice per year for National SHRM
- Apply for annual weekly meeting space for the chapter with Associated Students (April) and Reserve Templo Mayor for Fall and Spring Kick-Off (March)
- Meet with the Chapter Advisor outside of regular meetings as needed
- Maintain membership in National SHRM and San Diego SHRM
- Make at least two classroom visits at the beginning of the semester to pitch SHRM and build the interest list

- Advise, track, and record how chapter activities fit National SHRM Merit Award guidelines in order to make SHRM SDSU an award-winning organization
- Prepare, organize, and submit Student Chapter Merit Award application to National SHRM (Spring)
- Apply for awards through SDSU Associated Students, Aztec Achievement Awards, Business Achievement Awards, and others as applicable (Spring)
- Act as point of contact for director-level officers
- Attend all member planning meetings and help at chapter events

- Manage the purchase of opportunity drawing rewards, speaker gifts
- Attend all member planning meetings and help at chapter events
- Track attendance at meetings
- Perform other duties as directed by the President
- Attend mandatory Inclusive Leadership Awareness Training (ILAT) training and any Student Life and Leadership required training
- Maintain membership in National SHRM and SD SHRM
- Make at least two classroom visits at the beginning of the semester to pitch SHRM and build the interest list
TREASURER: The Treasurer oversees all aspects of financial management to safeguard the organization’s finances. They must be trustworthy comfortable working with numbers and familiar with accounting procedures and policies. Financial qualifications or relevant experience is a plus.
Essential Functions:
- Gather, distribute, and manage the chapter’s funds: collecting membership dues and pay organization bills
- Oversee SHRM Point System: maintain records and email members of their point status
- Keep all financial records of all income and disbursements
- Update and maintain the account ledger throughout the semester, informing the President and Chapter Advisor of any large-scale chapter purchases
- Act as a direct point of contact for Director-level officers
- Work with chapter advisor to gather price quotes for large-scale purchases (e.g., t-shirts, polos, banners, stoles)
- Attend all meetings and events and collect membership dues

Director Level
CO-CORPORATE RELATIONS (2): The Corporate Relations Director’s main role is to recruit mentors for the annual SHRM Speed Mentoring Event. They must have well-balanced organizational skills, excellent communication ability, a professional attitude, and be able to successfully network, follow up, and build relationships with business professionals in the HR profession. *This position is only available Spring Semester.

CO-MARKETING & MEDIA DIRECTORS (2): The Marketing & Media Directors are responsible for creating flyers and being active on all social media platforms. They must be creative, know marketing/advertising techniques, and be familiar with social media platforms (Facebook, Twitter, Instagram, LinkedIn, etc.)

ALUMNI RELATIONS: The Alumni Relations Director is responsible for helping the chapter stay connected to its alums and foster a continued relationship with SHRM SDSU members after graduation. This person should have strong interpersonal communication, written and verbal, to maintain professionalism with current HR professionals.

CBC REPRESENTATIVE: The College of Business Council (CBC) Representative is the liaison between CBC and SHRM SDSU. They must have strong communication skills and be able to attend all CBC meetings.

EVENTS COORDINATOR: The Events Coordinator facilitates organization socials and activities hosted by SHRM SDSU. They must be extremely organized, have strong time management, and well-rounded communication skills.

SAN DIEGO SHRM LIAISON: This officer will serve as the liaison and point of contact for the San Diego SHRM Chapter. They must have excellent communication skills and an interest in networking to represent our chapter with our parent professional chapter. This student must maintain professionalism and be available to attend SHRM San Diego events.

TECHNOLOGY DIRECTOR: The Technology Director manages and maintains the organization's website via Weebly (no prior experience required). Must have the ability to collaborate with members of the Executive Team regarding ways to improve the website’s navigational design and content.

DEVELOPMENT DIRECTOR: The Development Director’s main role is to research HR internships for SHRM SDSU members and officers. They must be familiar with job posting websites, LinkedIn, Indeed, Handshake, and other job/internship research tools.

MEMBER RELATIONS: The Member Relations Director is responsible for keeping members informed on what is going on within the chapter and encouraging their participation in chapter business and events. This person must be able to collaborate and receive feedback from the Chapter Advisor and Executive team.

HISTORIAN: The Historian is responsible for keeping track of all events and socials SHRM SDSU organizes and participates in. These would include meetings, tabling, awards, etc. He/she must be extremely organized and creative as they will be responsible for all photos taken throughout the semester to ensure our chapter’s highlights are captured.

- Recruit and secure mentors and mentees for the annual Speed Mentoring Event
- Serve as liaison between SHRM SDSU and mentors, maintaining communication about mentoring event details
- Update and organize a list of RSVPed mentors
- Work closely with the Chapter Advisor to coordinate logistics of the Mentoring Event starting at the beginning of the semester
- Arrange mentor thank-you notes and post-event surveys
- Attend all member planning meetings and help at chapter events

- Work with President and Chapter Advisor as needed to get information needed for marketing materials
- Attend all member planning meetings and help at chapter events

ALUMNI RELATIONS: The Alumni Relations Director is responsible for helping the chapter stay connected to its alums and foster a continued relationship with SHRM SDSU members after graduation. CBC REPRESENTATIVE: The College of Business Council (CBC) Representative is the liaison between CBC and SHRM SDSU. They must have strong communication skills and be able to attend all CBC meetings.
Essential Functions:
- Attend weekly College of Business Council meetings
- Inform the President and Chapter Advisor of discussion items at CBC meetings within two days of the meeting
- Inform SHRM SDSU chapter of Fowler College of Business events that student organizations are invited to participate in member planning meetings
- Reach out to other student organizations to collaborate and let them know SHRM’s plans for the semester
- Attend all member planning meetings and help at chapter events

SAN DIEGO SHRM LIAISON: This officer will serve as the liaison and point of contact for the San Diego SHRM Chapter. They must have excellent communication skills and an interest in networking to represent our chapter with our parent professional chapter. This student must maintain professionalism and be available to attend SHRM San Diego events.
Essential Functions:
- Attend and participate in San Diego SHRM meetings and events
- Highly encouraged to attend conferences, breakfasts, and networking events to help the chapter learn about other HR professional societies in San Diego
- Promote any upcoming events held by San Diego SHRM and other societies at the member meetings
- Attend all member planning meetings and help at chapter events

- Promote job opportunities presented by SHRM alumni and invite them to post those opportunities on the SHRM Alumni LinkedIn page

MEMBER RELATIONS: The Member Relations Director is responsible for keeping members informed on what is going on within the chapter and encouraging their participation in chapter business and events. This person must be able to collaborate and receive feedback from the Chapter Advisor and Executive team.

- Maintain open communication with members weekly to notify them of upcoming meetings and information via email and GroupMe
- Invite members to chapter planning meetings and SHRM Speaker Series events throughout the semester
- Create and send out two SHRM SDSU newsletters each semester to keep members and interest listers up-to-date with the chapter
- Communicate with interest listers for the first month of the semester: notify them of upcoming events, inform them of the benefits of joining the chapter, contact information for becoming a member
- Attend all member planning meetings and help at chapter events

HISTORIAN: The Historian is responsible for keeping track of all events and socials SHRM SDSU organizes and participates in. These would include meetings, tabling, awards, etc. He/she must be extremely organized and creative as they will be responsible for all photos taken throughout the semester to ensure our chapter’s highlights are captured.
Essential Functions:
- Take pictures at all events (using the SHRM SDSU camera and a cell phone with a good camera is strongly recommended)
- Post pictures to Google Drive and on the website gallery after each event or as needed
- Collaborate with the Member Relations Director on two newsletters per semester
- Create the annual scrapbook in the Spring semester
- Attend all member planning meetings and help at chapter events
