SHRM SDSU Positions: Duties and Responsibilties


Executive Level

PRESIDENT: The President’s main role is to oversee, support, and encourage all SHRM SDSU related activities. He/she must be organized, outgoing, able to delegate, and comfortable with public speaking. Previous experience as an organization president or officer is a plus.

Responsibilities:
  • Preside and conduct all meetings of the organization
  • Lead strategic planning initiatives for the chapter
  • Delegate and appoint tasks to officers
  • Maintain organizational records on Google drive
  • Plan and coordinate logistics of professional events and introduce speakers
  • Provide encouragement and motivation to fellow officers and organization members
  • Generate and update the chapter mission statement and annual goals and objectives
  • Meet with chapter advisor outside of regular meetings as needed
  • Prepare and submit Recognized Student Organization (RSO) paperwork (August)
  • Attend mandatory SOCIA (Part A & B) training and In-Person Officer Orientation with Student Life and Leadership and Banking Training Session with Associated Students to be a Recognized Student Organization
  • Apply for weekly meeting space annually for the chapter with Associated Students (April)
  • Apply for office space for the chapter each semester with Student Life and Leadership (August)
  • Submit Student Success Fee (SSF) grants on behalf of the chapter (October)
  • Prepare Student Chapter Information Form (SCIF; June and as leadership changes) and Chapter Roster Update (October 15) for national SHRM
  • Maintain contact with organization advisers and sponsors, affiliated departments and National SHRM
  • Attend SD SHRM board meetings and events
  • Write and submit SD SHRM article for “The Resource” every other month
  • Attend all member planning meetings and help at chapter events
  • Maintain membership in National SHRM and SD SHRM
  • Make at least two classroom visits at the beginning of semester to pitch SHRM and build the interest list

VICE-PRESIDENT: The Vice-President’s main role is to support the President. He/she must have excellent leadership, communication, and time management skills. In the event the President becomes vacant, the Vice President will temporarily act as President until a permanent replacement is elected. The Vice President also advises, tracks, and records how chapter activities fit National SHRM Merit Award guidelines in order to make SDSU SHRM an award-winning organization.

Responsibilities:
  • Assume the President’s duties in his/her absence
  • Coordinate/run organization elections
  • Recognize a “Member of the Month” every month
  • Be a liaison between members and officers and remain fair and impartial during decision-making processes
  • Reach out to other student organizations to collaborate and let them know SHRM’s plans for the semester
  • Coordinate with President and Events Coordinator on any collaborations with other organizations
  • Apply for awards through SDSU Associated Students, Aztec Achievement Awards, Business Achievement Awards, Student Life and Leadership Dean of Students Awards, and others as applicable
  • Prepare and submit Student Chapter Merit Award application to National SHRM
  • Oversee the meetings and events making sure that we are meeting the SHRM Merit Award standards
  • Create and maintain a Merit point checklist for all meetings and activities
  • Inform officers and members of total Merit points, goals and objectives
  • Coordinate roles for officers and interested members to participate at events
  • Perform other duties as directed by the President
  • Attend all member planning meetings and help at chapter events
  • Maintain membership in National SHRM and SD SHRM
  • Make at least two classroom visits at the beginning of semester to pitch SHRM and build the interest list

SECRETARY: The Secretary provides clerical and administrative support to the organization. He/she must be extremely organized, detail-oriented, and have strong communications skills.

Responsibilities:
  • Create and distribute minutes and announcements for each meeting to members and officers
  • Notify all members/officers of Member Planning Meetings
  • Track attendance at meetings
  • Keep a record of all members and activities of the organization
  • Maintain and add interest list information (name, email, date of graduation) to the Google drive
  • Secure event space with Associated Students and file all necessary documents 
  • Complete and submit food forms to Aztec Catering and EHS
  • Attend Food & Safety Training with Environmental Health & Safety (EHS)
  • Aid President in preparing and filing any report required
  • Perform other duties as directed by the President
  • Attend all member planning meetings and help at chapter events
  • Maintain membership in National SHRM and SD SHRM
  • Make at least two classroom visits at the beginning of semester to pitch SHRM and build the interest list

TREASURER: The Treasurer oversees all aspects of financial management to safeguard the organization’s finances. He/she must be trustworthy and comfortable working with numbers as well as being familiar with accounting procedures and policies. Financial qualifications or relevant experience is a plus.

​Responsibilities:
  • Gather, distribute and manage the chapter’s funds
  • Collect membership dues
  • Pay organization bills
  • Hold petty cash for the organization
  • Keep all financial records of all income and disbursements
  • Prepare and submit financial reports to members and officers
  • Work with Chapter Advisor to deposit excess petty cash into checking account
  • Gather price quotes for large scale purchases (e.g., t-shirts, polos, banners)
  • Attend mandatory SOCIA (Part A & B) training and In-Person Officer Orientation with Student Life and Leadership and Banking Training Session with Associated Students to be a Recognized Student Organization
  • Perform other duties as directed by the President.
  • Attend all meetings and events and collect membership dues 
  • Maintain membership in National SHRM and SD SHRM
  • Make at least two classroom visits at the beginning of semester to pitch SHRM and build the interest list

Director Level

CBC REPRESENTATIVE: The College of Business Council (CBC) Representative is the liaison between CBC and SHRM SDSU. He/she must have strong communication skills and be able to attend all CBC meetings.

Responsibilities:
  • Attend the weekly Business Student Representative meetings
  • Provide updates to members and officers about important information covered
  • Inform President and Chapter Advisor of discussion items at CBC meetings
  • Inform chapter of Fowler College of Business/CBC events student organizations are invited to participate
  • Attend all member planning meetings and help at chapter events
  • Maintain membership in National SHRM and SD SHRM
  • Make at least two classroom visits at the beginning of semester to pitch SHRM and build the interest list

EVENTS COORDINATOR: The Event Coordinator coordinates organization socials and activities organized by SHRM SDSU. He/she must be extremely organized and have strong time management and communication skills. Previous experience in event planning is a plus. 

Responsibilities:
  • Lead coordination of event logistics and supplies (food, location, etc.)
  • Conduct research and determine proper expenditure of budgeted costs for activities and events
  • Make recommendations on budgeted expenditures to the Treasurer
  • Organize 3-4 social events per semester
  • Pursue and organize community service projects and academic events
  • Attend all member planning meetings and help at chapter events
  • Maintain membership in National SHRM and SD SHRM
  • Make at least two classroom visits at the beginning of semester to pitch SHRM and build the interest list

INFORMATION SYSTEMS: The Information System Director manages and maintains the organization website. He/she must be familiar with website creation and management software. Experience in this area is a plus.

Responsibilities:
  • Manage the organization’s website at www.shrmsdsu.com
  • Update the website calendar after each meeting and as needed
  • Update the organization website with flyers of events provided by the Marketing & Media Director
  • Post pictures on website gallery after events or as needed.
  • Attend all member planning meetings and help at chapter events
  • Maintain membership in National SHRM and SD SHRM
  • Make at least two classroom visits at the beginning of semester to pitch SHRM and build the interest list


MARKETING & MEDIA DIRECTOR: The Marketing & Media Director is responsible for creating flyers and advertising the organization on all social media platforms. He/she must be creative, know marketing/advertising techniques, and be familiar with social media platforms (Facebook, Twitter, Instagram, LinkedIn, etc.)
 
Responsibilities:
  • Create fliers to display on social media, Blackboard, and Aztec Student Union TV posters for each event
  • Maintain and update all social media platforms including Facebook, Twitter, Instagram, and LinkedIn
  • Recognize and post an “Officer Spotlight” on all social media platforms every week
  • Work closely with Information Systems and Member Relations Director to publicize events
  • Print out flyers or other marketing materials
  • Create and implement innovative ideas to promote the organization (videos, slide shows, etc.)
  • Work with President and Chapter Advisor as needed to get information needed for marketing materials
  • Attend all member planning meetings and help at chapter events
  • Maintain membership in National SHRM and SD SHRM
  • Make at least two classroom visits at the beginning of semester to pitch SHRM and build the interest list

CORPORATE RELATIONS: The Corporate Relations Director’s main role is to recruit mentors for the annual SHRM Mentoring Event. He/she must have excellent communication skills and a professional attitude, and be able to successfully network, follow up, and build relationships with business professionals in the HR profession. *This position is only available Spring Semester.

Responsibilities:
  • Recruit and secure mentors for annual Mentoring Event
  • Serve as liaison between SHRM SDSU and mentors
  • Keep and organize list of RSVPed mentors
  • Work with President and Chapter Advisor to coordinate logistics of the Mentoring Event
  • Attend all member planning meetings and help at chapter events
  • Maintain membership in National SHRM and SD SHRM
  • Make at least two classroom visits at the beginning of semester to pitch SHRM and build the interest list

DEVELOPMENT DIRECTOR: The Development Director’s main role is to research HR internships for SHRM SDSU members and officers. He/she must be familiar with job posting websites, LinkedIn, Indeed, and other job/internship research tools.

Responsibilities:
  • Research and announce HR job/internship opportunities to members via email
  • Attend all member planning meetings and help at chapter events
  • Maintain membership in National SHRM and SD SHRM
  • Make at least two classroom visits at the beginning of semester to pitch SHRM and build the interest list

SAN DIEGO SHRM LIAISON: The SD SHRM Liaison is the liaison between SHRM SDSU and San Diego SHRM.  He/she must have excellent communication skills and a professional attitude to represent our chapter with the SD SHRM professional chapter. This student must be available to attend and sit on committees to serve as our voice at SD SHRM committee meetings. *We will elect additional SD SHRM Liaisons as needed to sit on different committees.

Responsibilities:
  • Attend and participate in the San Diego SHRM committee meetings (monthly)
  • Attend SD SHRM conferences and networking events
  • Provide updates to President and Chapter Advisor about information covered within two days of each meeting
  • Attend all member planning meetings and help at chapter events
  • Maintain membership in National SHRM and SD SHRM
  • Make at least two classroom visits at the beginning of semester to pitch SHRM and build the interest list

HISTORIAN: The Historian is responsible for keeping track of all events and socials SDSU SHRM organizes and participate in. These would include meetings, tabling, awards, etc. He/she must be extremely organized and creative.

Responsibilities:
  • Take pictures at all events (having a good camera is strongly recommended)
  • Post pictures to the Google drive within two days of events
  • Create annual photo book/scrapbook
  • Provide the Marketing & Media Director with pictures
  • Keep track of all events’ date, time, locations, and purpose
  • Attend and represent organization at official functions
  • Maintain membership in National SHRM and SD SHRM
  • Make at least two classroom visits at the beginning of semester to pitch SHRM and build the interest list

MEMBER RELATIONS: The Member Relations Director is responsible for keeping members informed on what is going on within the chapter and encouraging their participation in chapter business and events.

Responsibilities:
  • Maintain both member list and interest list for communicating with both groups
  • Notify members and interest listers of upcoming events via email
  • Email event attendees after each event to thank them for their participation, invite them to the next event and for those who are not yet members, inform them of the benefits of joining the chapter
  • Work with President to create monthly SHRM SDSU newsletters
  • Send out monthly SHRM SDSU newsletter to keep members and interest listers up-to-date with our chapter
  • Work with Alumni Relations to generate a semesterly SHRM SDSU newsletter for alumni
  • Attend all member planning meetings and help at chapter events
  • Maintain membership in National SHRM and SD SHRM
  • Make at least two classroom visits at the beginning of semester to pitch SHRM and build the interest list

ALUMNI RELATIONS: The Alumni Relations Director is responsible for helping the chapter stay more connected to its alums and foster a continued relationship with SHRM SDSU members after graduation.
         
 Responsibilities:
  • Maintain the SHRM alumni email list on Google drive
  • Connect and recruit SHRM alums to participate in the SHRM Mentoring Program
  • Send out information on HR jobs we find out about that are appropriate for distribution to alums
  • Work with Member Relations to generate a semesterly SHRM SDSU newsletter for alumni
  • Send out SHRM SDSU alumni newsletter to keep alumni up-to-date with our chapter
  • Coordinate alum surveys as needed
  • Invite alums to events/socials as appropriate
  • Attend all member planning meetings and help at chapter events
  • Maintain membership in National SHRM and SD SHRM
  • Make at least two classroom visits at the beginning of semester to pitch SHRM and build the interest list
